Villa house rules template
Villas mean bigger groups, a private pool and often staff such as a housekeeper, gardener or pool technician who come during the stay. Guests need to know who will be on the property, when, and how the gate and alarm work.
This template covers the standard Airbnb rules and adds villa requests with short reasons: pool safety, staff visits, the security system and, where it matters, water use.
The template
Replace anything in [brackets] with your own details.
Check-in and checkout
- Check-in from [Check-in time]. Checkout by [Checkout time].
- The gate opens with [Gate access method].
Guests and events
- The villa sleeps up to [Max guests] guests. Please don't host extra overnight guests.
- No parties, weddings or events without our written agreement.

Pets, smoking and photos
- Pets: [Pet rule].
- No smoking or vaping indoors. Please use the ashtrays on [Outdoor smoking area].

Pool
- There's no lifeguard. Children must be watched by an adult at all times in and around the pool.
- No glass by the pool. Plastic cups are in [Poolside cups location].
- Please don't dive. The pool is [Pool depth] deep.
- Please shower off sunscreen and oils before swimming; they cloud the water.
Staff and security
- [Staff schedule, e.g. the pool technician visits Tuesday mornings; housekeeping comes on day 4].
- The alarm: [Alarm instructions]. Please set it when everyone goes out.
- Valuables can go in the safe in [Safe location].
Water and power
- [Water note, e.g. water comes from a tank, so please keep showers short during dry months].
- Please turn off the AC when windows or doors are open.
Checkout
- Put used dishes in the sink.
- Gather used towels and pool towels in [Towel spot].
- Sort trash and recycling into the kitchen bins.
- Turn off lights and AC, close windows and shutters.
- Lock up, set the alarm and leave the keys [Key return spot].
Thank you for staying at the villa!
Copied. Paste it into your welcome book or message.
Tips
- Tell guests ahead of time when staff will visit, so no one is surprised by someone at the pool.
- State the pool depth in the rules and on a sign by the steps.
- Write down how to arm and disarm the alarm step by step; false alarms annoy everyone.
- If water comes from a tank or cistern, explain why short showers matter.
Put it on one guest page instead of a binder

Questions
Can villa guests host a wedding or party?
Only if you agree to it in writing beforehand. Otherwise a no-events rule protects you, the neighbours and your insurance.
How do I tell guests about villa staff?
List who will visit, on which days and roughly when, in the house rules and the arrival message. Guests feel more at ease knowing.
What pool rules should a villa have?
Adult supervision of children, no glass, no diving if the pool is shallow, and pool hours if neighbours are close. Give the reason for each.
