Keegix is a Waypoint Software product. I run it myself from Nova Scotia. This page explains, in plain English, what I collect, why, where it is kept and how to delete it.

What I collect from hosts

If you use the AI tools (Pro)

On Pro, you can paste notes and have AI draft your welcome book, or describe your place and have AI suggest a sign style and colours. Only then, the text you typed into the AI box and your property's name are sent to Google's Gemini API to write the answer. Nothing else from your account is sent, and nothing is sent about your guests. Keegix uses Gemini's free tier, so Google may keep that text, use it to improve its products, and have people review it. Don't put door codes or private details in the AI box. If you never use the AI tools, nothing goes to Google.

If you upload your guest binder

You can upload your guest binder (a PDF or photos of the pages) at keegix.com/start, or from the yellow key card on a letter. The files are stored on Keegix's server only until they have been read, then deleted (files from an upload that isn't finished are deleted within a day). To read them, they are sent to Anthropic's Claude API, which writes a draft of your welcome book. Anthropic does not use what is sent through its API to train its models. Nothing goes live until you check the draft and choose to make it live. A draft you never save is deleted after 30 days. To limit abuse, a one-way scrambled version of your network address is kept with each upload for a short time, so one device can only start a few uploads a day. Leave door codes out of what you upload if you can; the AI is told to leave them out either way.

If you order a setup

When you order the $39 setup, I receive your name, email, property name and address, listing link and text, your notes, your chosen second language, and any binder pages and photos you attach. They are stored on Keegix's server and used only to build your welcome book and to contact you about your order. Once you've paid, your notes, binder and photos are sent to Anthropic's Claude API to write the welcome book, place your photos and write your guest messages, and your town or address is used for a web search (through Claude) to find local picks near you. The finished text is also sent to Claude to write the second language. I check the result before it reaches you. When your welcome book is delivered, the binder and photo files on the order are deleted; the order record (your answers and the draft) is kept so I can handle the one round of changes and any refund, and you can ask me to delete it. An order you start but don't pay for is deleted after 7 days. The finished welcome book stays in your Keegix account until you delete it.

The guest question helper (Pro and the $39 setup)

If your plan includes it and you leave it switched on, guests can type a question on your welcome book page. The question and the text of that welcome book are sent to Anthropic's Claude API to write the answer. The question and the answer are not stored. To stop one page running up costs, each question is counted with the page and a one-way scrambled version of the guest's network address, and those counts are deleted after 30 days. You can switch the helper off for any property in the editor.

If you ask for founding Pro

When you fill in the founding-host form, I receive your email, your property's name and area, how many properties you have, your note, and a short tag saying how you found Keegix (for example "mail" for the key tag card or "meta" for an ad). It is emailed to me and stored by Netlify. I use it only to confirm your founding Pro and to ask for your feedback, and I delete the form submission once your request is answered.

If you use API keys or the spreadsheet upload (Pro)

If you make an API key, I keep its name, the first few characters (so you can tell keys apart), when it was made and roughly when it was last used. The key itself is never stored: only a one-way scrambled version, so nobody can read it back. Revoking a key deletes it. A spreadsheet you upload is read once to update your properties and is not kept; what it changes is saved in your properties like any edit you make in the editor, including your own reference for each property if you add one.

What I collect from guests

Guests don't create accounts. When a guest opens a welcome book, the server processes the request to show the page, like any website. If a guest uses the question helper, see above: their question is sent to Claude for the answer and isn't stored. A guest's language choice is kept only in their own browser. If a guide has a password, the password is sent with each page load and checked; it is kept in the guest's browser only until they close the tab.

What I don't do

Where your data is kept

Netlify, Stripe, Resend, Google and Anthropic may process data outside Canada under their own privacy policies.

Who can see your welcome book

Anyone with the link can open a welcome book unless you set a guest password. The link is long and random, and guest pages ask search engines not to index them, but treat the link like a house key: share it with guests, not publicly. Photos in a welcome book are served from their own long, random web addresses, so anyone who has a photo's address can open that photo.

How long I keep it

I keep your information while your account exists. If you delete a property, its content and photos are removed. If you delete your account, everything is removed.

Deleting your account

Sign in, go to Your properties, scroll to Delete my account, type DELETE and press the button. This cancels any Pro subscription and permanently removes your properties, photos, profile and sign-in account. Stripe keeps its own payment records as required by law.

You can ask me for a copy of your information, ask me to correct it, or ask me to delete it. Email contact@keegix.com.
