Bike instructions for guests (template)
Free bikes are a lovely extra for a beach town, a rail trail or a lake road. The questions guests ask are always the same: which bike fits, where are the helmets, what's the lock code, and where's good to ride.
This template answers those, adds a quick before-you-ride check, explains locking and child gear, lists a few routes and says what to do with a flat tire or a crash. Fill in your bikes, sizes and favourite rides.
The template
Replace anything in [brackets] with your own details.
The bikes
- We have [Bike list, e.g. two adult bikes, one child's bike] at [Bike location].
- Lock code: [Bike lock code].
- Helmets are in [Helmet location]. Please wear one, and children always should.
- Child seat or trailer: [Child gear, or delete].
Before you ride
- Squeeze both brakes. They should stop the wheels firmly.
- Press the tires. If they feel soft, the pump is at [Pump location] and the pressure is printed on the side of the tire.
- Adjust the seat with [Seat adjustment, e.g. the quick-release lever]. Close it tightly again.
- Riding near dusk? Lights are in [Light location].
On the road and trail
- Ride with traffic and follow the local road rules.
- On shared trails, ring your bell or call out before you pass walkers.
- [Local notes, e.g. The shoulder on Main Road is narrow; use the trail instead.]
Where to ride
- [Route one, distance and what's there]
- [Route two, distance and what's there]
- [Trail or bike shop for rentals and repairs]
Locking up
When you stop, lock the frame to something solid. At night, please bring the bikes back to [Bike location] and lock them.
If something goes wrong
- Flat tire: a repair kit is in [Repair kit location], or call us and we'll sort it.
- Something's broken: please don't ride it. Let us know.
- Accident or injury: call [Emergency number] for anything serious, then call [Host name] at [Host phone].
Copied. Paste it into your welcome book or message.
Tips
- Offer helmets in a few sizes, including children's, and replace any helmet that's taken a hit.
- Do a quick brake and tire check between stays; a soft tire is the most common complaint.
- Change the bike lock code regularly, like any other code at the property.
- List routes you've actually ridden, with distances, rather than a generic map.
- Check your insurance before offering bikes, and say any age or use limits plainly.
Put it on one guest page instead of a binder

Questions
Should I provide helmets with rental bikes?
Yes, in a range of sizes including for children. In some places helmets are required by law for some or all riders, so check your local rules.
How do I keep rental bikes in good shape?
Check brakes, tires and chains between stays, store them out of the rain, and get them serviced once a season.
Are hosts responsible if a guest is hurt on a bike?
It depends on where you are and your insurance. Talk to your insurer before offering bikes, and keep the bikes well maintained.
