Extra guest request reply template for Airbnb hosts
When a guest asks to bring more people, the key question is your maximum guest count. Your beds, parking, septic system and safety plan are all set up around it, and going over can break your listing rules or local rules.
If you say yes, ask the guest to update the booking through the platform, so the guest count and any extra guest fee are recorded there. If the answer is no, say so plainly and point to the listing's maximum, so it doesn't feel personal.
The template
Replace anything in [brackets] with your own details.
Yes
Hi [Guest first name],
Thanks for checking with me first. Yes, you're welcome to bring [Number] more, which makes [Total number] guests, within our maximum of [Maximum guests].
Could you please change the guest count on your booking through [Platform]? That way everyone's covered, and the extra guest fee of [Fee amount, or delete this sentence if there's no fee] is added there.
Bedding for the [Sofa bed or extra bed] is [Bedding location], and the driveway fits [Number of cars] cars.
See you soon!

No
Hi [Guest first name],
Thanks for asking first; I really appreciate it. I'm sorry, but [Property name] is set up for a maximum of [Maximum guests] guests, and I can't go over that because of [Reason, e.g. the beds, parking and our septic system].
The same goes for visitors: [Visitor rule, e.g. we're not able to have visitors beyond the booked guests].
If your group grows, you might look at [Suggestion, e.g. booking a second place nearby].
Thanks for understanding,
[Host first name]

Tips
- Always ask guests to change the guest count through the platform, so everyone is on the booking.
- Decide your visitor rule in advance and put it in your house rules, so you can point to it.
- Count children the same way your listing does, and say so if asked.
- Holding firm on your maximum protects your septic, parking and neighbours, and helps prevent parties.
Put it on one guest page instead of a binder

Questions
Can guests have visitors at an Airbnb?
It depends on your house rules. Some hosts allow a few daytime visitors with notice and no overnight visitors beyond the booked guests; whatever you choose, put it in your rules.
How do I charge for an extra guest?
Set an extra guest fee in your listing pricing and ask the guest to change the guest count through the platform. The fee is then added to the booking.
What if more guests show up than booked?
Message the guest politely, remind them of the maximum and ask them to update the booking or bring the group back to the limit. If it turns into a party or a safety issue, contact the platform's support.
