Multi-unit check-in instructions template
When there's more than one unit on the property, the biggest risk is a guest walking into someone else's space. Duplexes, triplexes, houses with a basement suite and properties with several cabins all need instructions that make one door, one parking spot and one key obvious.
This template points guests to their unit by number and photo, explains which spaces are shared and which belong to other guests or residents, and gives them a clear way to check they're at the right door before they open it.
The template
Replace anything in [brackets] with your own details.
Your unit
- You're staying in [Unit name or number], which is [Unit description, e.g. the upstairs unit / the cabin closest to the lake].
- Other guests or residents live in the other units, so please check the unit number before you go in.
1. Find the property
The address is [Address]. Look for [Landmark].
[Photo: the property from the street, with your unit marked]
2. Park in your spot
- Your parking spot is [Parking spot, e.g. the second spot from the left, marked [Unit number]].
- Please don't use [Other spots], which belong to the other units.
3. Find your door
- Your entrance is [Door location, e.g. the side door up the wooden stairs].
- The unit number, [Unit number], is on [Where the number is, e.g. a sign beside the door].
- If the number doesn't match, it's not your door. Please call us before trying another.

4. Get in
- [Entry, e.g. lockbox [Lockbox label] on the railing, code [Lockbox code]].
- The key is tagged [Key tag]. It only opens your unit.
5. Shared and private spaces
- Shared with other units: [Shared spaces, e.g. the front yard, the laundry room, the hallway].
- Just for you: [Private spaces, e.g. your deck and the fire pit behind your unit].
- Please keep shared hallways and stairs clear, and voices low after [Quiet hours start].
6. First things inside
- Wifi: [Network name] / [Wifi password]. Please use this network, not [Other unit network].
- Thermostat: [Thermostat location]. It controls only your unit.
- Garbage and recycling: [Bin location and which bins are yours].
7. Who to call
[Host name]: [Host phone]. If you have a problem with a neighbouring unit, please call us rather than knocking.
Copied. Paste it into your welcome book or message.
Tips
- Put a clear, matching number on each unit's door, lockbox and parking spot.
- Photograph each door with its number showing, and use a different photo set for each unit's instructions.
- Use separate lockboxes or codes for each unit so a mix-up can't open the wrong door.
- Name wifi networks after each unit so guests join the right one.
- Ask guests to call you, not knock on neighbours, if there's a problem between units.

Questions
How do I stop guests going into the wrong unit?
Give each unit a clear number on its door, lockbox and parking spot, show that number in your photos, and tell guests to call you if anything doesn't match.
Should each unit have its own lockbox?
Yes, where you can. Separate lockboxes or door codes mean a guest can only ever open their own unit, even if they go to the wrong door.
How do I explain shared spaces to guests?
List which spaces are shared and which are private in plain words, and give a short note on keeping shared areas quiet and clear.
