Check-in day message template for Airbnb hosts
This is the message guests will reread standing at your door, maybe in the dark, maybe with tired kids. Put the steps in the order they'll do them, and keep each one short enough to read at a glance.
Arrival day is the right time to send the door code. Send it in the platform messages, not by text or email, so it's easy to find and there's a record of when it went out.
The template
Replace anything in [brackets] with your own details.

Tips
- Schedule it for the morning of arrival so guests have it before the last leg of the trip.
- Write the steps in the order guests will do them, from parking to the light switch.
- Change the code for each guest and send it only on or just before arrival day.
- Give one phone number to call, and say when someone will actually answer.
- Ask guests to let you know they're in, so you're not left guessing.
Put it on one guest page instead of a binder

Questions
What time should I send check-in instructions?
The morning of arrival works well for most guests. If they're travelling far or arriving very early, send it the evening before.
Should I send the door code by text instead?
Keep it in the booking platform's messages. It's where guests look first, and it gives you a record if there's ever a dispute.
What if the guest arrives before check-in time?
Let them know kindly whether the place is ready. If it isn't, suggest somewhere nearby to wait, like a café, and message them as soon as it's ready.
