Keypad lock check-in instructions template

A keypad deadbolt means no key to lose and no box to find, but every model works a little differently. Some need a button pressed first, some lock on their own after a few seconds, and some pause after too many wrong tries.

Use this template to tell guests exactly how your keypad behaves: how to wake it up, enter their code, lock it when they leave and what to do if the screen stays dark. Fill in the steps while standing at your own door so nothing gets missed.

The template

Replace anything in [brackets] with your own details.

Your door code

  • Your personal code is [Door code]. It works from [Check-in time] on [Arrival day] until [Checkout time] on [Departure day].
  • Please don't share it with anyone outside your group.

1. Find the place

Go to [Address]. The entrance you want is [Which door, e.g. the side door facing the driveway], not the front door.

4. Enter your code

  • Type [Door code], then press [Finish button, e.g. the check mark / the lock button].
  • You'll hear [Sound, e.g. a short whirr] as the bolt turns. Turn the handle and come in.
  • After [Number] wrong tries the keypad pauses for [Time]. Wait, then try again slowly.

5. Locking up

  • The door locks itself [Time, e.g. 30 seconds] after it closes. Please take your phone with you if you step outside.
  • To lock it straight away from outside, press [Lock button].
  • From inside, turn the thumb latch.

6. First things inside

  • Light switch: [Light switch location]
  • Thermostat: [Thermostat location and setting]
  • Wifi: [Network name] / [Wifi password]

7. If the keypad doesn't light up

The batteries may be flat. [Backup entry, e.g. there's a key in a lockbox at [Location], code [Lockbox code]]. Please let us know so we can change them.

8. Who to call

Call or text [Host name] at [Host phone]. Backup: [Backup contact and phone].

Questions

What code should I give guests for a keypad lock?

A unique code for each booking, ideally set to work only during their stay. Some hosts use the last four digits of the guest's phone number, but avoid simple codes like 1234 or a street number.

What happens if the keypad batteries die?

Most keypad locks have a backup, such as a key cylinder or battery contacts on the outside, but check your model. Tell guests your backup plan in the check-in steps so they aren't stuck outside.

Should the door lock automatically?

Auto-lock is handy because guests often forget to lock up, but it can catch someone who steps out without their phone or code. Tell guests it's on and how many seconds they have.
