Keypad lock instructions for guests (template)
A keypad deadbolt with no app is the workhorse of self check-in. It is simple, but guests still trip over the start key, the turn-the-handle timing, or a door that has to be pulled tight before the bolt will throw.
This template covers the button order, what the lights and beeps mean, how to lock it again, what cold weather does to it, and the backup if the keypad goes dark. Fill in your model's steps and a photo of the keypad.
The template
Replace anything in [brackets] with your own details.
Opening the door
- Press [Start key, e.g. the logo or the star key] to light up the keypad.
- Enter your code, [Door code], one button at a time.
- Press [Finish key, if any].
- When you see [Success signal, e.g. a green light], turn [Handle or thumb turn] [Direction] within [Seconds] seconds.
Locking up
- [Lock method, e.g. press the lock button once, or turn the thumb turn on the keypad].
- Give the door a gentle push to check it's locked.
- If the bolt sticks, pull the door towards you while you lock it.
What the keypad is telling you
- [Green signal]: code accepted.
- [Red signal]: wrong code. Try again slowly.
- [Flashing or warning signal]: batteries are low. Please text us.
Cold, rain and dark
- [Backlight note, e.g. The keys light up when you press Start.]
- In freezing weather the buttons can ice over or feel stiff. Breathe on them or warm them with your hand, and press firmly.
If something goes wrong
- After [Number] wrong codes the keypad pauses for [Minutes]. Please wait and try again.
- No lights at all: [Backup entry, e.g. the key in the lockbox at Lockbox location].
- The door opens but won't lock: please don't leave it. Text or call [Host name] at [Host phone].
Safety
The inside of the door always opens with the thumb turn, no code needed. Please don't block the door with furniture or luggage.
Copied. Paste it into your welcome book or message.
Tips
- Pick a lock with a lockout after a few wrong tries, so nobody can sit and guess codes.
- Adjust the strike plate if the bolt needs a shove; it drains batteries and frustrates guests.
- Change the code after each stay, or at least every few stays, and never use a birthday or street number.
- Fit a small hood or shield if the keypad faces rain or ice.
- Write the code in the check-in message only, never in the house manual that stays in the home.
Put it on one guest page instead of a binder

Questions
How often should I change my rental's keypad code?
Ideally after every stay. At minimum change it often and whenever someone who had it shouldn't have it any more.
Why won't my keypad lock turn?
The bolt is usually rubbing on the frame. Pulling or pushing the door tight while locking helps, and adjusting the strike plate fixes it.
What's the difference between a keypad lock and a smart lock?
A keypad lock works on its own with codes you program at the door. A smart lock connects to an app, so you can send codes and check it remotely.
