Heat pump instructions for guests (template)

Heat pumps confuse guests more than almost any other appliance. The remote has a dozen buttons, the unit pauses to defrost in cold weather, and many people turn it to 30 degrees expecting the room to heat faster.

This template explains the few buttons guests need, a good temperature to leave it on, and the normal things that look like faults: steam from the outdoor unit, the fan stopping for a few minutes and a short delay after switching modes.

The template

Replace anything in [brackets] with your own details.

Using the remote

  • Remote location: [Where the remote lives, e.g. in the holder by the door].
  • Power: press [On/off button].
  • Mode: press [Mode button] until you see [Heat symbol] for heat or [Cool symbol, e.g. snowflake] for cooling.
  • Temperature: use the up and down arrows. We find [21°C / 70°F] comfortable.
  • Fan: [Auto is best / how to change the fan speed].

Good to know

  • The heat pump warms the room gently. Setting it higher doesn't heat faster, so please pick the temperature you want and leave it.
  • After you change modes, it may take a few minutes to start blowing.
  • In cold weather the unit sometimes stops blowing for a few minutes and you may see steam from the outdoor unit. It's defrosting, which is normal.
  • Please keep doors and windows closed while it's running.
  • [Other units or rooms: e.g. the bedroom has its own unit and remote on the nightstand].

When you go out

  • You can leave it running at [Temperature] or turn it down a few degrees.

When you leave

  • Please set it to [Checkout setting, e.g. 17°C / 63°F heat, or off in summer].

If something goes wrong

  • No air or a flashing light: check the remote batteries [Spare battery location], then turn the unit off for 5 minutes and back on.
  • Still not working, or ice or snow is covering the outdoor unit: please text [Host name] at [Host phone]. Backup heat: [Backup heat, e.g. baseboard heaters in each room].

Questions

Why does my heat pump blow cold air sometimes?

In winter the unit pauses to defrost its outdoor coil, and the fan stops or blows cool air for a few minutes. It goes back to heating on its own.

What temperature should guests set a heat pump to?

Pick a comfortable temperature, such as 20–22°C (68–72°F), and leave it. Turning it much higher doesn't heat the room faster.

Can I ask guests to turn the heat pump down at checkout?

Yes. Turning off or turning down heating and cooling is one of the checkout asks Airbnb allows.
