Ceiling fans instructions for guests (template)
Ceiling fans come with a mix of wall switches, remotes and pull chains, and often a light on the same control. Guests turn the light on and the fan starts, or the fan won't respond because the wall switch is off.
This template explains each fan's controls and a couple of safety lines, which matter most in lofts, bunk rooms and rooms with low ceilings. Fill in the room and control type for each fan.
The template
Replace anything in [brackets] with your own details.
Where the fans are
- [Rooms with ceiling fans, e.g. living room, main bedroom, loft].
How to use them
- [Room]: [Control type, e.g. remote on the nightstand / pull chains on the fan / wall switch by the door].
- The wall switch for [Room] needs to be on for the remote to work.
- Speed: [How to change it, e.g. press 1, 2 or 3 on the remote / pull the chain once for high, twice for medium, three times for low, four times for off].
- Light: [How to turn on the fan light without the fan, e.g. the bulb button on the remote / the shorter chain].
Good to know
- Ceiling fans cool people, not the room, so they're best when someone is in the room.
- In summer the fan should feel like a breeze straight down. If it doesn't, please let us know and we'll switch the direction.
- On hot nights, the fan plus open windows [or the AC] works well. Please close windows if rain is on the way.
Safety
- Please keep hands, toys and anything you're carrying away from the blades.
- In the [Loft or bunk room], the fan is close to the top bunk or bed. Please turn it off before anyone sits up or climbs up.
- Please don't hang anything from the fan or pull hard on the chains.
When you go out or leave
- Please turn the fans off.
If something goes wrong
- A fan wobbles, clicks or makes a grinding noise: turn it off and text [Host name] at [Host phone].
- Remote not working: check the wall switch is on, then try the spare batteries at [Spare battery location].
Copied. Paste it into your welcome book or message.
Tips
- Label or photograph each remote so guests know which fan it controls.
- Tape a note on wall switches that need to stay on for the remote to work.
- Check fan height over bunk beds and lofts; turn those fans off by default if the clearance is tight.
- Tighten blades and mounts between seasons so fans don't wobble.
- Set fans to the summer direction before peak season so guests don't have to think about it.

Questions
Which way should a ceiling fan turn in summer?
In summer most fans should push air straight down, which for many models is counter-clockwise looking up. Check the fan's manual, as it varies.
Why won't my ceiling fan remote work?
Often the wall switch is off, cutting power to the fan, or the remote batteries are flat. Some remotes also need to be paired again after a power cut.
Is a ceiling fan above a bunk bed safe?
It depends on the gap between the blades and the top bunk. If the clearance is small, turn the fan off and tell guests not to use it with someone on the top bunk.
