Booking confirmation message template for Airbnb hosts
The booking confirmation is the first message a guest gets from you, and it sets the tone for the whole stay. Its job is simple: say thanks, confirm the dates and explain what happens next, so guests aren't left wondering when they'll get check-in details.
Keep it short. Leave out the door code, wifi password and long house rules for now; those belong in the pre-arrival and check-in-day messages, closer to the date.
The template
Replace anything in [brackets] with your own details.
Short version
Hi [Guest first name],
Thanks for booking [Property name]! You're all set for [Check-in date] to [Checkout date].
Check-in is from [Check-in time] and checkout is by [Checkout time]. I'll send your check-in steps and door code on [Day the code is sent, e.g. the morning you arrive].
If you have any questions before then, just message me here.

Detailed version
Hi [Guest first name],
Thank you for booking [Property name]. We're looking forward to having you!
Here's what you need to know for now:
- Dates: [Check-in date] to [Checkout date]
- Check-in: from [Check-in time]
- Checkout: by [Checkout time]
- Guests: [Number of guests] (please let me know here if that changes)
What happens next:
- About [Number] days before you arrive, I'll send directions, parking details and the house guide.
- On [Day the code is sent], I'll send your door code and step-by-step check-in.
Is there anything that would make your stay easier, like a travel cot or extra towels? Let me know and I'll do my best to help.
Please keep our messages here in [Platform] so we both have a record.
See you soon,
[Host first name]
Copied. Paste it into your welcome book or message.
Tips
- Send it within a few hours of the booking, while the guest is still excited and checking their phone.
- Don't include the door code or wifi password yet; send codes on or just before arrival day.
- Repeat the dates and guest count back to the guest so mistakes get caught early.
- Keep the conversation on the booking platform so there's a record if anything goes wrong.
- Save it as a scheduled or quick reply so every guest gets the same clear start.
Put it on one guest page instead of a binder

Questions
When should I send a booking confirmation message?
As soon as you can after the booking comes in, ideally within a few hours. Many hosts set it as a scheduled message that goes out right after booking.
Should I send the door code in the booking confirmation?
No. Bookings are often made weeks ahead, and a code sitting in old messages is a security risk. Send it on the day of arrival or the day before.
What if the guest replies with lots of questions?
Answer them in the platform messages, then add any common ones to your welcome book so the next guest finds the answer there.
