Maintenance visit message template for Airbnb hosts

Guests expect privacy, so any visit during a stay needs notice and, ideally, their okay on the time. Say who's coming, why, how long they'll be and which areas they need.

For planned work, like a hot tub service or lawn care, give as much notice as you can and let guests choose the time. For urgent repairs, explain the problem, give the earliest time and make clear the visitor will only go where they need to.

Planned visit

Hi [Guest first name],

Just a heads-up: [Who, e.g. our hot tub technician, Sam] needs to come by for [Reason, e.g. a regular water check]. It takes about [How long].

Would [Time option 1] or [Time option 2] suit you better? They'll only need [Area, e.g. the back deck] and won't need to come inside.

They'll knock first when they arrive and leave everything as they found it. Just let me know which time works.

Thanks!

Urgent repair

Hi [Guest first name],

Thanks for letting me know about [Problem]. I've booked [Who, e.g. a local plumber] to come at [Time], the earliest they can do.

They'll need to get into [Area, e.g. the main bathroom and the basement] for about [How long]. If that time doesn't work for you, tell me and I'll ask about another.

Their name is [Technician name], and they'll knock and introduce themselves. I'll message you here once the repair is done.

I'm sorry for the hassle, and thanks for your patience.

Questions

Can I send a repair person in while guests are out?

Only with the guest's agreement or in a genuine emergency, like a leak. Ask first, agree the time and tell them when it's done.

How much notice should I give guests for maintenance?

As much as you can, ideally a day or more for planned work. Urgent repairs can be same-day, but still message before anyone arrives.

Should I mention outdoor workers like lawn care in my listing?

Yes, if they come during stays. A line in the listing and the welcome book avoids surprises when someone shows up with a mower.
