Late checkout reply template for Airbnb hosts
Whether you can say yes to a late checkout depends on who's arriving next and how long your cleaner needs. If no one is checking in that day, an extra hour or two costs you little, and guests remember it.
Give the new time in writing so there's no confusion. If you say no, explain briefly and offer what you can, like a spot to leave bags. Any late checkout fee should go through the booking platform, never paid on the side.
The template
Replace anything in [brackets] with your own details.
Yes
Hi [Guest first name],
Happy to help: you can check out at [Late checkout time] tomorrow instead of [Usual checkout time]. Our cleaner is booked for right after, so please keep to that time.
There's a late checkout fee of [Fee amount, or delete this sentence if it's free], and I'll send the request through [Platform] so you can pay there.
Everything else for checkout stays the same. Enjoy the slow morning!

No
Hi [Guest first name],
Thanks for asking. I'm sorry, but new guests arrive tomorrow and our cleaner needs the full time between stays, so checkout has to stay at [Checkout time].
If it helps:
- You're welcome to leave your bags in [Luggage spot] until [Bag pickup time].
- [Nearby spot, e.g. the beach café] is a good place to spend the rest of the morning.
Thanks for understanding, and safe travels!

Tips
- Check your calendar and your cleaner's schedule before you answer.
- Confirm the new time in writing so there's no question later.
- Any late checkout fee goes through the platform, never in cash or by e-transfer.
- When the next night is empty, saying yes is an easy kindness guests remember.

Questions
Should I charge for late checkout?
It's up to you. Some hosts give an hour free when there's no same-day arrival and charge for longer, collected through the platform.
How late can a late checkout be?
Whatever your cleaner and the next arrival allow. Most hosts offer one to three hours; much beyond that is closer to booking another night.
What if a guest stays past checkout without asking?
Message them politely with the time and let them know the cleaner is waiting. If it causes extra costs, raise it through the platform.
